New Employee Start Up

Once the selection process is completed and approved, the department should take steps to offer and confirm the hire.  This will initiate processes that will make resources available to the new employee as well as the supervisor and department.

Offer

The P&S Letter of Intent (LOI) and Merit Confirmation form can be retrieved from the Hiring System.  Otherwise forms are available on the University Forms page.  These forms are sent to selected candidate to formalize the offer.

Confirmation of Hire

When the signed agreement is returned, the hire should be confirmed in the Hiring System.

  • Electronic Personnel Action (EPA)

    When the hire is confirmed by the department, HRS will set up the employee record so the department can initiate an Electronic Personnel Action.
  • Welcome Letter

    At time of confirmation, a welcome letter from HRS will be sent to a new to the university employee.  Besides welcoming the new employee, the letter will be given a confirmation number which they may use to get into AccessPlus, retrieve the University Identification number (UID) and set up an email account.  The Parking Office will also email the employee with information about parking and a five day pass.

Departments should be sure to go over this check list with the new employee plus cover departmental/college, philosophy, policy, and processes.

Electronic Access

Prior to the arrival of the new employee, the supervisor should consider what information and system access they will need.  Electronic access can take up to a week to set up.

Performance Expectations

At the start of the employment, the supervisor should be sure to cover job duties and responsibilities as well as set performance expectations.

          Merit Probation - Merit Employees new to the university and those changing job titles have a six month probation.  The supervisor will receive three emails, start of employment, at the end of three months, and at end of 5 months, that contain information about the probation period and required actions.
